A day with ZapTill

One day at Mama Lishe Grill, a made-up restaurant on Ngong Road, from the first PIN in the morning to the owner's phone at night. Every screen here is the real ZapTill, running on demo data.

Morning open

Wanjiru signs in with her PIN and counts her float.

No passwords at the counter: each person has their own PIN, and the till knows who they are and what they may do. Before the first sale, Wanjiru counts the cash already in the drawer and enters it as her opening float.

From now on, every shilling in that drawer is hers to account for, and the till keeps the count.

The real ZapTill till: 'Open your drawer. Wanjiru, count the cash in the drawer before you start.' The opening float is KES 2,000, with a Start selling button.

The lunch rush

Table 4 orders, and pays part M-Pesa, part cash.

The menu is big buttons. Chips Masala asks "Normal or Spicy?" and the answer goes on the order. A table can be held and picked up again when they want more.

At the bill, Table 4 pays KES 2,000 by M-Pesa and the rest in cash. Wanjiru splits the payment at the till, and your Buy Goods or Paybill number is printed large on the receipt.

The real ZapTill till taking payment for Table 4: total due KES 3,050, split into KES 1,050 cash and KES 2,000 M-Pesa.

The kitchen

The kitchen reads "Chips Masala - Spicy" and gets cooking.

The order goes straight to the kitchen printer, or to a kitchen screen where each order is a card with a timer. The variant sits on the dish's own line, so nobody reads the same dish twice, and an extra or the cashier's note ("+ Extra Cheese", "** No onions") prints right under the dish it belongs to.

Drinks skip the kitchen and go to dispatch, where the ticket lists everything for the tray.

Stock

The meat delivery comes in. A tray of chips hits the floor.

The storekeeper receives the delivery against the supplier's note, and the stock goes up by what actually arrived. The dropped chips are written off as wastage, with a reason and what they cost.

Wastage is money too: it shows up in the day's figures and in Analytics, not just in the bin.

Evening close

Each drawer is counted. Wanjiru's is KES 350 short.

Each cashier counts their drawer and the till prints their shift report. The manager sees, cashier by cashier, what should be in each drawer, what was counted and the difference, then confirms each shift.

When every drawer is in, the branch is closed, from the till or from the web.

The real ZapTill shift report for today: Counter, Wanjiru, expected cash KES 14,550, counted KES 14,200, difference KES -350; Bar, Otieno, expected and counted KES 10,150, difference KES 0. Both awaiting a manager.

Night

The owner gets the day by email, wherever she is.

At the time she chose, the day's summary lands in her inbox: sales and orders, top sellers, how each cashier did, and what is running low. Any cash difference at the close can be in it too.

For more, the web dashboard opens on her phone, with every branch side by side. Her partner and her accountant have their own logins.

Next morning

Analytics says what to do next, in plain words.

With ZapTill Analytics, the month's sales become a short, ranked list of things to do: what to order before Friday, what to have in for Saturday, who owes you. This one is a warning from the voids at the counter. It carries no shilling figure, because a void before payment is not always a loss: it is something to look into.

How Analytics works

Example from a demo restaurant

Warning · worth a look

Check Otieno's voids

47 voids (KES 42,050) in 30 days: 5.0 times the branch median rate. Worth a look; a void before payment is not always a loss.

No estimate: look into it first

A warning to look into, not money lost: no KES estimate.
